Serves as the Coordinator of operations for the Business Office, including Front Desk Receptionist and provides administrative support to senior leadership.

 

Responsibilities

  • Greets and assists guests/vendors to the Business Office.
  • Schedules Business Office conference rooms as requested.
  • Responsible for all incoming and outgoing mail, including oversight of all mailroom operations and postage machine.
  • Maintain security checkpoint guest list.
  • Updates intranet with daily announcements, forms for all departments, event sign ups, and any other information.
  • Maintain the company phone listing.
  • Orders stock supplies for general Business Office use as needed (including but not limited to kitchen items, copier needs, bathroom supplies).
  • Maintains and calls for service on Business Office equipment (including but not limited to vending machines, conference room equipment and bathrooms).  Primary contact for monthly copier meter readings.
  • Coordinates and Maintains VIP carts, schedules golf cart and vehicles for staff.
  • Provides general administrative support for senior leadership, including but not limited to, scheduling meetings, preparing correspondence and other documents, copying, and filing information.
  • Assists with data entry and special projects when needed. 
  • Constantly strives to further the mission of the organization and avidly supports the Columbus Zoo and Aquarium, Zoombezi Bay, Safari Golf Club and The Wilds.
  • Implements sustainable practices in daily tasks whenever possible.
  • Performs other duties as assigned.

Qualifications

  • High school diploma or equivalent required.
  • Ability to communicate professionally and courteously with business office guests required.
  • Ability to perform several tasks at one time under stressful conditions required.
  • General knowledge of the Columbus Zoo Family of Parks (CZFP) grounds and organizational structure desired.
  • Ability to communicate well both verbally and in writing required.
  • Ability to use discretion and handle confidential material and information appropriately.
  • Ability to plan and organize work in an efficient and cost-effective manner and without direct supervision required.
  • Ability to provide excellent guest service by interacting with guests positively and upholding the Make it G.R.E.A.T. standards required.
  • Ability to develop and maintain cooperative working relationships with all CZFP team members and contacts regarding company business required.
  • Ability to adhere to standard operating procedures including but not limited to safety protocols required.
  • Possession of a valid state issued motor vehicle operator’s license and a good driving record required.  
  • Ability to adhere to the CZFP’s drug-free workplace policy including but not limited to pre-employment, random, post-accident, reasonable suspicion, and follow-up treatment required.
  • Ability to successfully complete a criminal history background check annually required.
